    For race directors

    Your club's email list

    Bring the people who signed up on your own website onto Run This, and email them alongside everyone who has registered for your races. No separate mailing-list subscription.

    What this is

    Your club has two groups of people it can email:

    • Registrants: everyone who has entered one of your races, across every year. Run This builds this from your own registration data, so it is always current.
    • Email list subscribers: people who gave you their address somewhere else, a newsletter form on your website, a clipboard at packet pickup, a list you have been keeping in Mailchimp. You bring these in yourself.

    A subscriber is not a Run This member and not a Run This account. We never create an account for an imported address, and these people never appear in your club's member count or roster.

    Two ways to add people

    Import a list you already have (below), or put a signup form on your own website so new people land on the list by themselves.

    Importing a list

    Open your club, choose Manage club, then the Email list tab. Upload a CSV and we match the columns for you. Exports from Mailchimp and most website form builders work as they are; a plain single column of addresses works too.

    Before you upload, fill in where these addresses came from, for example "newsletter form on our website". It is stored with every address in that import, and it is the answer if anyone ever asks why they heard from you.

    When the import finishes you get a summary. Two numbers there matter more than the total:

    • Left opted out: people on your file who previously unsubscribed or whose address bounced. They stay off the list. An import never puts someone back on a list they left.
    • No opt-in date: rows carrying no record of when they signed up. Worth knowing before you send to a list you have not used in a while.

    Importing the same file twice is safe

    Addresses are matched on the email itself, so re-importing an updated export updates the people already there rather than duplicating them.

    Sending to the list

    Two places, depending on what the email is about:

    • From your club (Manage club → Emails) for company news that is not about one race: a season announcement, a schedule reveal.
    • From an event (the event's Emails page) when it is about that race. Both club groups appear in the recipient list there alongside the event's own audiences.

    Either way you can tick registrants, subscribers, or both. Someone in both groups receives one email, not two. The live "Emailing N people" count already has unsubscribes taken out, so it is the number that will actually send.

    Only a club owner or admin can send to the list

    The list belongs to the race company, not to any one event. A co-director of one of your races cannot email it unless they are also an owner or admin of the club.

    How these addresses are looked after

    • They are only ever used for your emails. Run This does not add them to its own marketing, and no other club can reach them.
    • Every email carries a one-click unsubscribe. Gmail and Yahoo require it of anyone sending in volume, and it is what keeps your mail out of spam folders.
    • An unsubscribe sticks. It survives future imports, and if that person also has a Run This account, we opt that account out of your emails at the same time so they cannot keep hearing from you through the registrant group.
    • Bounces and spam reports come off automatically. Repeatedly emailing a dead address damages delivery for everyone, so we stop.
    • Addresses that belong to a Run This account are linked to it. That person's own email settings apply, and they never receive the same email twice.

    Managing individual people

    The Email list tab lists everyone with their status. You can unsubscribe someone by hand (if they ask you directly), resubscribe someone you removed by mistake, or delete a record outright.

    Unsubscribe rather than delete

    Deleting removes the record entirely, including the fact that they opted out. If they turn up in a later import they will be added back as a new subscriber. For someone who asked you to stop, Unsubscribe is what you want.
